How we handle the personal data of students, patients, donors and visitors.

The Trust respects your privacy and processes personal data in line with the Digital Personal Data Protection Act, 2023, the Information Technology Act, 2000 and applicable rules. This policy applies to amaravatifoundation.com, our virtual office, our forms (hosted on Zoho Forms) and our communications.
1. Data we collect
- Identity & contact — name, email, phone, country, organisation.
- Application data — academic records, passport and identity details, and other documents you submit through our application forms.
- Health-support data — only where you ask for patient support, and only what is needed to coordinate with hospitals.
- Virtual-office data — check-in details, purpose of visit, chat messages and visit time.
- Donation data — name, amount, transaction reference. Card and PayPal details are processed by PayPal or your bank; we never see or store card numbers.
- Technical data — browser type and basic logs needed to keep the site secure.
2. Why we use it
- To provide admissions, study-abroad, online-learning, passport and patient-support services you request.
- To respond to enquiries, chats and appointment requests.
- To issue donation receipts and meet legal, audit and trust-reporting obligations.
- To keep our services secure and prevent misuse.
3. Legal basis & consent
We process data on the basis of your consent (given when you submit a form or check in) and for legitimate uses permitted by law. You may withdraw consent at any time by writing to us; this does not affect processing already carried out.
4. Sharing
We share data only as needed to deliver the service you asked for — for example with the universities you apply to, hospitals you choose, or government authorities for visas and passports — and with service providers that host our systems (Zoho, Vercel, Upstash, PayPal, Zoom), each bound by their own data-protection terms. We never sell personal data.
5. Retention
Application and visitor records are kept for as long as needed to provide the service and for up to 3 years after, unless law requires longer (for example, donation and accounting records). Health-support data is deleted once support ends unless you ask us to keep it.
6. Security
Access to our staff systems is restricted to authorised personnel with individual logins. Data is transmitted over encrypted connections.
7. Your rights
You may request access to, correction of, or erasure of your personal data, and nominate another person to exercise your rights. Write to info@amaravatifoundation.com. If you are not satisfied, you may approach the Data Protection Board of India.
8. Children
For applicants under 18, we require the consent of a parent or legal guardian.
9. Grievance officer
